Step 1: Sign In
Click Sign In and authenticate with your Microsoft work account. Training Hub 365 uses Azure Active Directory for single sign-on, so there's no separate registration. Your organization's tenant is created automatically on first sign-in.
Step 2: Configure Settings
Go to Settings in the sidebar to set up your departments and course categories. These are used throughout the app to organize employees, roles, and training courses.
Step 3: Add Training Courses
Navigate to Training and create your training courses. For each course, set a category, indicate if it's mandatory for all employees, and specify a recurrence interval if retraining is required. You can also attach documents or work instructions.
Step 4: Create Roles
Go to Roles and create the job roles in your organization. Assign the required training courses to each role and mark courses as mandatory or optional. This drives the training matrix compliance tracking.
Step 5: Add Employees
Navigate to Employees and add your team members. You can add them individually or use Excel Import for bulk upload. Assign each employee their department, position, and role(s). Required training is automatically populated based on role assignments.
Step 6: Add Trainers
Go to Trainers and add the people who deliver training in your organization. Trainers can be assigned to courses within training events and will countersign during the sign-off process.
Step 7: Schedule Training Events
Navigate to Events and create your first training event. Choose the event type:
- Training Event: Standard classroom or group training
- Certification: External certification with issuing organization and expiration tracking
- OTJ Assessment: On-the-job skill evaluation with 1-4 grading scale
Assign courses, select a trainer, and add the employees who will attend.
Step 8: Complete Sign-Offs
When training is delivered, use the sign-off workflow:
- Each employee signs off using the digital signature pad
- The trainer reviews, assigns a grade for OTJ assessments, and countersigns
- The event is marked complete with a full audit trail
Step 9: Monitor the Training Matrix
Visit the Training Matrix to see real-time compliance across your organization. Green checks show completed training, grey X marks show gaps, and numbered badges show OTJ skill grades. Use the Export to Excel button for audits and reporting.
